From first conversation to daily work

You do not need a cleanup project before you can get help.

Bring your current process, the files you have, and the questions you cannot easily answer. We will help define a practical starting point.

1. Start with the part that is slowing you down.

A useful first conversation begins with your operation. Who keeps the roster current? Where do driver files arrive? How does your team know a test or renewal is finished? Which questions keep coming back?

We can walk through a familiar situation in the Sunshine demo, then discuss the programs and support your company needs. The goal is a clear scope, not a long list of features to sort through.

Bring one real workflow question.

For example: “When a driver sends a replacement document, three people get copied, but nobody can tell whether it was approved.” That is a useful place to start.

2. Bring the records you already use.

A roster or spreadsheet gives us a starting point. Existing PDFs, scans, photographs, and email context help explain what your team has already collected. You do not need to invent a new filing system first.

  • Your company details and USDOT number, where applicable.
  • A current roster, including recent changes your team knows about.
  • The contact responsible for the program and people who need access.
  • Existing records and a short list of known open items.

Share sensitive employee records only through the agreed service intake process. The public tour is for the supplied sample data.

3. Build a reviewed starting point.

Gehlco reviews the company identity, roster, applicable programs, and evidence. Ambiguous names, conflicting details, and missing information become specific questions. A suggested match is not silently treated as a confirmed identity.

Company setup is reviewed before service activation. A submitted form does not automatically turn on billing, approve driver evidence, or establish qualification. Your team and Gehlco agree on the work and the next steps.

4. Work from a clear next step.

Once the workspace and service are set up, Home separates the work into Needs you, With Gehlco, and Completed. Your team can open an item, understand the request, send evidence, and follow the review.

A correction remains visible until the needed follow-up is resolved. The driver or company record keeps the source, receipt, review, and history connected so a different colleague can pick up the work later.

What to expect from the first conversation

We will discuss your current workflow, the service scope, the people involved, and what a useful first phase would look like. Timing and pricing depend on that scope; we will work through those details with you.

Can a small team use this?

Yes. The starting conversation can focus on a smaller fleet and the work currently handled by one person. The same task, receipt, and review distinctions still help.

Can we bring more than one company?

Gehlco supports company-scoped records and reviewed access. Talk through the legal entities, people, and programs so setup reflects the actual relationships.

What happens after I request a walkthrough?

The request enters the existing demo scheduling process. A person confirms the appointment; the request alone does not mean a time has been booked.
